Quality Assurance: The consultant and team will work closely with clinets to ensure methodological rigor and cultural appropriateness at every stage of the assessment. Draft tools and interview guides will be shared for review before use, and data will be triangulated across sources to strengthen reliability. Team members and enumerators (if any) will be trained on ethical protocols, cultural sensitivity, and safe engagement with beneficiaries. Data collection will be conducted with full consideration for the convenience of respondents. All activities will strictly adhere to the core principles of research – Respect for Persons, Beneficence, and Justice, including obtaining informed and written consent, prioritizing participant welfare, and ensuring strict confidentiality and data security.
Data Protection, and Responsible AI Use
Field data will be stored confidentially, and analyzed only for this assessment. After project completion, team members will be asked to dispose of all physical documents and digital data securely, while the lead consultant will retain only necessary data for a certain period for verification and audit purposes, as agreed with the client. The final report will be kept confidential within the client and consultancy team. Unless published publicly by client or written consent is obtained from the client, the consultant team will not share it as a sample of work with any other organization, except when requested by the same client for future proposals.
AI will be applied in limited and appropriate stages of the process, such as entering questionnaires into data collection tools, transcribing and translating interview scripts, and copy editing. To maintain high standards of data security, AI integrated by Google Workspace or Microsoft Office will be prioritized for the data analysis. Only safe and secure tools with valid, licensed software will be used to ensure data protection and compliance with ethical standards.
External or third party AI tools will not be used to handle sensitive data. All personally identifiable information will be anonymized before entry to the tools. If the client or stakeholders have any objections or preferences regarding the use of AI tools, they may inform the consultants in advance so the approach can be adjusted accordingly and remain fully aligned with their data protection and ethical standards.
Do No Harm, Accountability, Child Protection, and PSEA Standards:
The consultant and team will follow universal principles and uphold humanitarian and ethical standards. Team members and data collectors will be briefed on these standards at the contract‐signing stage. The consultant and team will also follow the client organization’s protection policies, if such policies are shared during inception.
